Terms of Use for Fanseek Business Accounts

1. Introduction and Acceptance

These terms of use govern your access to the electric car sharing platform run by Fanseek. We are registered in the United Kingdom under company number 13847291. Our main office is located at 15 Cook Street, Liverpool, L2 9QU. By setting up a business workspace or using our mobile application, you agree to these rules. If you do not agree, you cannot use our vehicles or our software.

These rules apply to both your company administrators and your individual drivers. You are responsible for making sure every driver you add to your workspace reads and follows these terms. (Honestly, we prefer plain English over heavy legal jargon, but our lawyers insisted we write these details down clearly.)

2. Description of the Fanseek Service

We provide app-managed electric car sharing for local businesses in the Liverpool area. We maintain a fleet of 14 electric vehicles. This fleet includes Tesla, Porsche Taycan, and Audi e-tron models. There are no desks, no paperwork. We do not run physical rental counters. You find, book, and open our vehicles entirely through our smartphone application. You unlock with your phone.

The vehicles are parked in designated bays with active chargers across central Liverpool. Our team manages these bays to keep our fleet ready. We aim to keep every vehicle charged. In fact, our standard policy ensures vehicles have at least 79% battery capacity at pickup. This is what we call 99.1% battery, 99.6% electric service.

3. Driver Registration and Eligibility

To drive a Fanseek vehicle, your employees must register through our mobile application. We must verify every driver before they can book a car. Our operations team usually completes this check in 3.2 hours during our normal working day. To be approved, drivers must hold a valid UK driving licence. They must be between 21 and 65 years old.

We cannot approve drivers who have more than 6 penalty points on their licence. Drivers must also have at least two years of active driving experience in the UK. You agree to notify us immediately if any registered driver in your company workspace loses their licence or receives new driving convictions. We reserve the right to block any individual driver if they no longer meet our insurance requirements.

4. Using the Smartphone Key

We do not use physical car keys. The Fanseek mobile application acts as the secure key for all bookings. Your drivers must keep their mobile phones sufficiently charged to unlock and lock the cars. If a driver cannot access their phone due to a flat battery, they will not be able to use the vehicle. We are not liable for any delays or missed appointments caused by a driver's phone losing power.

Drivers must never share their application login details with anyone else. The digital key is linked directly to the verified driver's profile. Allowing an unverified person to drive a Fanseek vehicle is a serious breach of these terms. If an unverified person drives the vehicle, your commercial insurance coverage becomes invalid instantly.

5. Charging and Vehicle Return Rules

Our business relies on a cooperative charging system. When a booking ends, the driver must return the vehicle to its designated Liverpool parking bay. The driver must plug the vehicle back into the active charger. If a driver fails to plug in the car, we may charge your account a penalty of £45 to cover our manual dispatch costs.

If you need to charge the vehicle during a longer journey, you must use the pre-loaded fuel card located inside the glovebox. This card allows free rapid charging at over 140 regional stations. You do not need to pay out of pocket for charging. However, if you lose the charge card, you must report it immediately to our operations team. Track every mile in the app to make sure you have enough range to return to your designated bay.

6. Fares, Billing, and Monthly Accounting

We do not charge upfront subscription fees or registration costs. You only pay for the active driving hours your team uses. We calculate rates based on the vehicle tier selected. Your central business dashboard tracks every mile in the app. This keeps your records accurate and prevents manual paperwork.

We generate clean VAT receipts automatically at the end of every trip. We bill your registered company credit card or bank account weekly. Your finance team can download a complete CSV log from the admin portal at any time. If you dispute any charge on your monthly statement, you must notify us in writing within 14 business days. We will investigate the dispute and respond within 3.2 hours during our office hours.

7. Traffic Fines, Cleanliness, and Damage

Your drivers must obey all UK traffic laws and local Liverpool parking regulations. Your business is solely responsible for any speeding tickets, parking fines, or clean air zone charges incurred during a booking. If we receive a penalty charge notice, we will transfer the liability directly to your company workspace. We charge a small £15 administration fee for processing each fine.

Our vehicles are non-smoking zones. We also do not allow pets inside the vehicles. If a driver leaves a vehicle dirty, we will charge a £65 cleaning fee to restore the car for the next user. In the event of minor damage, such as a scratched wheel rim or a small dent, you must report it through the app immediately before starting your drive. Failing to report pre-existing damage may make your business liable for the repair costs.

8. Commercial Insurance and Limits of Liability

We provide full commercial motor insurance for all authorised drivers using our vehicles. This insurance covers third-party damage, fire, theft, and personal injury. In the event of an accident where your driver is at fault, your business is liable to pay a fixed insurance excess of £480. We do not cover personal belongings left inside the vehicles, so please ensure your team removes all valuable items at the end of their booking.

We operate our service with 98.7% digital system reliability. However, we cannot guarantee that a specific vehicle will always be available at your closest parking bay. We are not liable for any indirect business losses, lost profits, or missed contract opportunities resulting from vehicle unavailability or app connectivity issues. Our total liability under these terms is strictly limited to the amount your business paid us during the 3 months preceding any claim.

9. Governing Law and Dispute Resolution

These terms and any disputes arising from your use of our vehicles are governed by the laws of England and Wales. Both Fanseek and your business agree that the courts in Liverpool will have exclusive jurisdiction to settle any legal disagreements. If any part of these terms is found to be invalid by a court, the remaining sections of the agreement will still apply in full.
